You are hereby summoned to attend the Annual Meeting of Abergavenny Town Council on Wednesday 8th May 2024, 7pm in the Community Room, Town Hall, Abergavenny, or via MS Teams by requesting the link from the Principal Officer.

The public and press are welcome to attend the meeting. A public session of up to 15 minutes is held at the start of the meeting during which the public can address the Council.

ANNUAL MEETING AGENDA

  1. To receive and approve apologies for absence.
  2. To receive declarations of interest for items on the agenda
  3. To elect a Mayor for 2024-25 municipal year as directed in statute, Local Government Act 1972 ss 15(2) and 34(2). Nominations to follow.

Retiring Mayor says “Councillor xxx, by the majority vote of the Council, you have been elected to the office of Town Mayor for the year 2024/25.”

  1. To Receive the Newly Elected Town Mayor’s Declaration of Acceptance of Office

Principal Officer says – “Mr/Madam Mayor please read and sign the declaration of acceptance of office”

NOTE: The newly elected Mayor will preside over the remainder of the meeting.

  1. To elect a Deputy Mayor for 2024-25. Nominations to follow.

The newly elected Mayor says – “Councillor xxx, by the majority vote of the Council you have been elected to the office of Deputy Mayor for the year 2024/25”.

  1. To receive the Deputy Town Mayor’s Declaration of Acceptance of Office says – “Mr/Madam Deputy Mayor please read and sign the declaration of acceptance of office”.
  2. To agree Chairs & Vice Chairs of Committees for 2024-25, currently:

  1. To nominate Councillors for Representation on External Bodies 2024-25
  2. To receive and approve the Asset Register 2024-25
  3. To receive and approve the Risk Register 2024-25
  4. To receive and approve the Standing Orders 2024-25
  5. To receive and approve the Financial Regulations 2024-25
  6. To approve the completed self-assessment document for Abergavenny Town Council.
  7. To readopt the following policies:

o Social Media Policy (date due for review May 2024)
o Disciplinary Policy (updated from Oct 2023)
o Anti bullying and harassment policy
o Code of Conduct for Councillors

  1. To receive and reapprove the Scheme of Delegation (updated May 2024).
  2. To receive and note the attendance record for 2023-24.
  3. To review training undertaken by Councillors during 2023-24.
